In the past weeks we have talked a lot about why just about everyone should consider the possibility of automating their cash process. Why? Because of what it can save your organization – time, money and risk that come with handling cash.

What we haven’t mentioned is how automation in you cash room can not only save money, but now it can make life better for all those involved in cash processes.

Cash room staff and cashiers spend a lot of time counting cash, a tedious and menial but necessary task, just like sorting notes, bill facing, preparing bills for deposits and balancing. In many environments, this amounts to a tremendous number of hours to serve the daily cash needs of zoos and aquariums. Additionally a great deal of these tasks must be done under dual control.

All of which not to mention the pressure and stress associated with the risk of human error and the time it can take to verify missing funds.

Counting, tracking, verifying and securing cash accurately, these are basic functions of a cash recycler. This means no more errors and no more stress related to risk. All the menial cash handling tasks weighing down a cash operations staff can be simply automated.

Furthermore, because all your cash is secure and tracked it is always visible. Thus, reporting can be done with ease and all the cash is accounted for in real time. No more manual balancing because you’re always in balance. This visibility carries far beyond the walls of the cash room. Automation can provide clear accountability and visibility from on-site staff throughout the enterprise level.

All in all, not only does automating your cash processes have the potential to save your organization a great deal, it can transform your whole cash operation for the better by eliminating the natural problems and stress that come with managing cash.

Everyone has different expectations about cash automation and how it can effect their cash operations. Because everyone’s process is different there are only so many fair assumptions we can make about what to expect. Here are some reasons why you should or shouldn’t consider automating your cash operations.

You should consider Automation if you:
    • Accept cash and create and settle multiple tills daily
    • Need better visibility of cash inventories
    • Need to consolidate information and reporting about cash activities
    • Experiencing cash inventory shrinkage
    • Have accountability gaps in your processes
    • Have employee hours dedicated to counting cash
    • Want to reduce fees and operating costs from your cash processes
Maybe you shouldn’t consider automation if you:
    • Don’t use much or any cash in your operations
    • Manage only 5 for fewer cash tills per day

Automation has dramatically changed the banking industry over the past two decades and continues to do so. The same phenomenon is occurring in the retail world; however, many zoos and aquariums have yet to take a good look or become educated on the benefits and savings associated with cash automation. If you’re interested in cutting costs and saving money, it might be worth looking at.

ARCA makes life better by securing and simplifying transactions around the world. We see beyond the hardware and software to the real problems that we help people solve. At ARCA we believe the key to solving the problems of the cash room is in achieving harmony between all the complex parts of the cash process, and thus having complete control over your cash. This is how results are achieved…

At ARCA we feel that it’s about time—it’s about time for these cost savings and increased security. It’s about time for enterprise wide cash management tools and reporting. It’s about time for automatic preparation of start funds, funds for cashier tills and deposits ready for armored pick up. Furthermore, it’s about time somebody got it right.

The AZA show in September is the perfect place to start asking questions and getting answers about how cash automation can revolutionize the way your organization handles cash. After all, it’s about time you start asking questions and find out what you stand to gain.

Many people think zoos do not handle much cash, but AZA finance professionals know the opposite is true. As an AZA member, ARCA understands the importance of zoos and aquariums supporting values of conservation and education. We understand that all the institutions accredited by the AZA are committed to providing meaningful and effective conservation education programs to the public. Because of this we hope to help you find answers to your cash managment problems so you can spend less time worrying about where your cash is and more time making a difference.

Whether we choose to face it or not, the cash room can be a chaotic place. We all understand the pressures and activities that surround cash operations daily, especially in a high-volume, retail environment.

Receiving cash orders, generating start funds, working late hours for end-of-day balancing, accounting and paperwork; the reality is that the cost of these tasks involves a great deal of staffing, time and discipline.

But what if it didn’t have to? The cash industry, whether be it in banks, retail stores or zoos, is steadily gravitating towards greater automation of cash management.

Learn how our fellow AZA members at the Cincinnati Zoo used a Retail Cash Management Solution to:

  • Reduce shortages by 90%
  • Cut cash handling labor by 60%
  • Trim armored carrier costs by 30%

“With accountability established, everything fell into place… and with no one to blame for cash differences, our staff is free to focus on other challenges.”
